NIE Number

Securing a NIE Number (Número de Identificación de Extranjero) is the first real gatekeeper to starting a life in Spain. Without it, a newcomer cannot sign a rental lease, open a local bank account, get a phone contract, or get paid by an employer.

The process is notoriously tricky because navigating the booking system, filling out the forms in specific Spanish phrasing, and paying the state tax before the meeting trips up almost every expat.

Here is exactly how we can step in to manage, streamline, and secure the NIE for your newcomers.

Where We Add Value: Handled vs. Guided Support

Depending on whether the newcomer is currently in their home country or already on the ground in Spain, we structure our assistance into two clear pathways:

Remote Remote Representation (Power of Attorney)

If the newcomer wants to hit the ground running with their NIE already active before they land, we can manage the entire loop remotely.

  • The Power of Attorney (Poder Notarial): We draft a specific, limited power of attorney allowing our team to act as their representative. They simply sign this at a local notary in their home country and affix the Hague Apostille.
  • Full Hands-Off Processing: Once received, our team pays the taxes, books the local proxy appointment, and presents the file directly to the Oficina de Extranjería. The final NIE certificate is scanned and emailed to them directly.

In-Country Accompanied Support

If they are already in Spain (or prefer to attend the mandatory police appointment themselves), we act as their bureaucratic shield.

  • The Cita Previa Hunt: The state booking system is notoriously overloaded, often showing “No hay citas disponibles” (No appointments available). We run daily, systemized checks to lock down an official slot at the nearest available National Police station.
  • Dossier Perfection: We complete the legal application forms and prep their tax documents so they won’t be turned away at the window for a paperwork technicality.

The Master NIE Blueprint We Execute

We break down the journey for the newcomer into a clean, predictable workflow. We take care of the heavy structural lifting while ensuring they know exactly what to bring.

1.Determine the Legal Track & Strategy: Day 1.

We verify if the newcomer is an EU Citizen (requires Form EX-18) or a Non-EU Citizen (requires Form EX-15). We also establish their legal “justification” factor—such as a job offer letter, property deposit contract, or company formation intent—as Spain will not issue a NIE without a concrete economic or social reason.

2.Lock Down the Cita Previa: 1-3 Weeks Lead Time.

We handle the official government portal bookings. Once secured, we send the newcomer their printed appointment confirmation slip, along with precise instructions on the location and timing.

3.Draft and Complete Forms EX-15/18: Pre-Appointment.

We complete the official Spanish application forms in all-caps, ensuring the nuances of the “reason for application” section are worded exactly to the standards of the local police jurisdiction.

4.Process State Tax Form 790 (Código 012): Pre-Appointment.

Every NIE requires a government administrative fee (~€10–€12). We generate the official Modelo 790 012 document, take it to a participating Spanish bank or ATM to process the cash/debit payment, and secure the stamped payment receipt required by the police officer.

5.The Counter Submission: Appointment Day.

The newcomer arrives at the station with our fully prepped physical folder (containing their passport, complete photocopies, paid tax forms, and proof of justification). Depending on the local province, the official white A4 NIE certificate is either handed over on the spot or emailed within 5 business days.

A Quick Reminder for the Team: A NIE number is assigned for life. It never changes and never expires, even if the paper certificate itself notes a 3-month administrative validity window for certain transactions. Once we get them this number, they are officially in the system.
