    How to Use the Digital Nomad Visa Document Checklist

    Preparing a Spanish Digital Nomad Visa or International Teleworker residence application can involve documents from several different areas: identity, employment or professional activity, company evidence, income, qualifications, Social Security, criminal records and health coverage.

    The Newcomer Digital Nomad Visa Document Checklist helps you see what you already have, what is still missing and what you should deal with next.

    For each document, choose the answer that best describes your situation and then click Check my application readiness.

    The calculator will show:

    • your document readiness percentage;
    • how many documents are already prepared;
    • which documents are still missing;
    • which requirements need clarification;

    The result is designed to help you organize your application. It does not predict whether the Spanish authorities will approve it.


    What Do the Checklist Options Mean?

    For every requirement, you can choose one of four answers.

    I have it

    Choose I have it when the document or evidence is already prepared and available for your application.

    I still need it

    Choose I still need it when the requirement applies to you but you have not yet obtained the document.

    Doesn’t apply to me

    Some requirements only apply in specific situations.

    For example, representative authorization is normally relevant only when another person is formally representing you.

    Only choose Doesn’t apply to me when you are confident that the requirement genuinely does not apply to your case.

    Do not use this option simply because a document is difficult to obtain.

    I’m not sure

    Choose I’m not sure when you do not know whether a requirement applies to you or whether the document you currently have is sufficient.

    Newcomer will identify that item as needing review rather than incorrectly treating it as complete.


    What Documents Does the Calculator Check?

    The checklist organizes the application into practical groups so that you can work through the application step by step.

    These groups include:

    • application documents;
    • identity;
    • government fees;
    • employment or professional relationship;
    • foreign company evidence;
    • financial evidence;
    • remote work evidence;
    • qualifications and professional experience;
    • Social Security;
    • criminal-record documentation;
    • health coverage.

    Some requirements are universal, while others depend on your individual circumstances.


    Application Documents

    The first section covers the basic documentation used to start the application.

    This can include the signed application form and, where applicable, documentation authorizing a representative to act for you.

    These may look like simple administrative documents, but they still form part of the complete application package.


    Passport and Identity Documents

    A valid passport is one of the fundamental documents for a Spanish Digital Nomad residence application.

    The checklist helps make sure the passport requirement is not forgotten while you are concentrating on more complicated areas such as income, Social Security or company evidence.

    This is especially useful when your passport expiry date is close to another important immigration deadline.


    Government Fee

    The application process also involves the relevant administrative fee documentation.

    Do not leave this until the rest of your application has already been prepared.

    Keeping the fee documentation inside the same checklist helps ensure that the final application package is complete.


    Employment or Professional Relationship

    Digital Nomad applicants generally need evidence supporting their employment or professional relationship with the foreign company or professional activity.

    The exact documents can differ depending on whether you are:

    • an employee;
    • an independent professional;
    • working with foreign clients;
    • involved in your own company;
    • operating through another qualifying professional structure.

    This is why Newcomer does not treat every Digital Nomad applicant as identical.

    Conditional requirements are shown separately so that your checklist can better reflect your actual situation.


    Evidence About the Foreign Company

    An important part of the Spanish Digital Nomad route is demonstrating the underlying foreign business activity.

    Depending on your circumstances, you may need evidence relating to:

    • the foreign company;
    • how long the company has been operating;
    • your relationship with the company;
    • company ownership or control;
    • additional company information where applicable.

    Company owners may therefore see additional requirements that would not normally apply to a standard employee.

    If you are not sure whether a company-related requirement applies to you, choose I’m not sure rather than excluding it automatically.


    Financial Evidence

    Digital Nomad applicants must also demonstrate sufficient financial means.

    The checklist may include evidence such as:

    • recent payslips;
    • recent invoices;
    • evidence that income has actually been received;
    • bank evidence;
    • additional savings or liquid funds where relevant.

    It is important to understand the difference between the financial calculator and the document checklist.

    The financial calculator answers: How much income do I need?

    The document checklist answers: Do I have the evidence to prove it?

    These are two different parts of the same application process.

    A person can meet the required financial amount but still have incomplete evidence.

    Likewise, having several bank documents does not automatically mean that the financial requirement itself has been met.


    Remote Work Evidence

    A central part of the Digital Nomad route is demonstrating that your work can genuinely be performed remotely from Spain.

    Supporting company or professional documentation may need to explain matters such as:

    • your position or professional profile;
    • your main responsibilities;
    • how the work can be performed remotely;
    • the use of telematic or digital means;
    • your remuneration;
    • the conditions under which you will work from Spain.

    This is an important part of the application and should not be reduced to a generic employment letter if more detailed evidence is required for your circumstances.


    Qualifications and Professional Experience

    Applicants must also demonstrate the required professional background.

    Depending on the case, this can involve:

    • university qualifications;
    • professional qualifications;
    • evidence of relevant professional experience;
    • additional documentation for regulated professions.

    If your profession is regulated, additional rules may apply.

    For this reason, regulated-profession requirements are treated separately in the checklist.

    If you are unsure whether your profession is regulated or whether your existing qualification is sufficient, choose I’m not sure.


    Social Security

    Social Security is one of the areas that can make Digital Nomad applications more complicated.

    The correct documentation depends on the route that applies to your specific situation.

    This may involve:

    • Spanish Social Security;
    • registration in RETA for certain self-employed applicants;
    • foreign Social Security coverage under an applicable international arrangement;
    • employer-related Social Security documentation.

    Do not mark the Social Security section as complete simply because you have an employment contract.

    The evidence should correspond to the Social Security route that actually applies to your case.

    If you do not know which route applies, select I’m not sure so that the issue appears in your application review.


    Criminal Record Documents

    Criminal-record documentation can be one of the more time-consuming parts of an immigration application.

    The documents required can depend on your recent countries of residence and your individual circumstances.

    Foreign public documents may also require additional formalities such as:

    • apostille;
    • legalization;
    • official or accepted translation.

    Because obtaining criminal-record certificates and completing these formalities can take time, it is often sensible to deal with this part of the application early.

    If the calculator identifies a criminal-record document as your priority item, do not leave it until the final stage of preparation.


    Health Coverage

    Your application may also require appropriate healthcare or health-insurance evidence.

    The exact requirement can depend on your Social Security and healthcare situation.

    Do not automatically assume that any insurance policy will satisfy an immigration requirement.

    In particular, ordinary travel insurance should not automatically be treated as equivalent to qualifying residence-related health coverage.

    If you are unsure whether your policy is suitable, choose I’m not sure and verify the requirement before submitting your application.


    What Is the Document Readiness Percentage?

    The readiness percentage gives you a simple overview of how much of your applicable document checklist has been addressed.

    For example:

    12 of 15 applicable items ready

    may produce a readiness score of approximately:

    80%

    The percentage is designed to help you organize your preparation.

    It is not an approval probability.

    A person can have a high readiness percentage while still missing one very important document.

    That is why Newcomer also identifies a Priority document.


    What Is a Priority Document?

    A Priority document is an important missing item that should normally receive attention before less important checklist tasks.

    For example, imagine your result shows:

    Readiness: 88%

    That may initially look very strong.

    However, if the missing item is an important criminal-record certificate or required Social Security evidence, the application is not realistically ready for submission.

    Newcomer therefore does not rely on the percentage alone.

    It also helps answer the more useful question:

    What should I work on next?


    Example: Your Application Is Almost Ready

    Imagine the calculator shows:

    Document readiness: 92%

    Documents prepared: 16

    Documents to prepare: 1

    Priority document: Social Security evidence

    Next step: Confirm the correct Social Security route and prepare the corresponding evidence.

    This is much more useful than simply showing a long static list of immigration documents.

    You immediately know where to focus your attention.

    • foreign company activity evidence;
    • remote-work letter;
    • income evidence;
    • criminal-record certificate;
    • health coverage evidence.

    Instead of trying to prepare everything at once, you can start with documents that are likely to require the most time.

    Which Documents Should You Prepare First?

    Not every document takes the same amount of time to obtain.

    Potentially time-consuming documents can include:

    • criminal-record certificates;
    • apostilles;
    • legalization;
    • sworn translations;
    • Social Security documentation;
    • foreign company registry evidence;
    • professional qualifications;
    • regulated-profession documents.

    Documents such as forms or simple declarations may be much faster to prepare.

    A sensible workflow is therefore:

    Identify the slowest documents first → start obtaining them → prepare easier items while you wait → perform a final readiness check.


    Should I Prepare Every Document Before Starting?

    You do not necessarily need to have every document ready before you begin organizing the application.

    The purpose of the calculator is to show you where you currently stand.

    A practical process is:

    Check the requirements → identify missing documents → identify slow documents → start preparation → return to the checklist → review readiness again.

    As your application progresses, your readiness percentage should increase and the number of missing items should fall.


    What If a Requirement Does Not Apply to Me?

    Some requirements are conditional.

    If a requirement genuinely does not apply to your circumstances, choose:

    Doesn’t apply to me

    For example, a document related to formal representation may not be necessary if you are submitting your own application.

    However, do not select Doesn’t apply to me simply because you do not currently have the document.

    If the requirement applies but the document is missing, choose:

    I still need it

    This distinction is important for an accurate readiness result.


    What If I Am Not Sure Whether a Document Is Required?

    Choose:

    I’m not sure

    Immigration requirements are not always completely binary.

    Your situation may depend on:

    • employment structure;
    • professional status;
    • company ownership;
    • Social Security arrangements;
    • profession;
    • previous residence;
    • family circumstances;
    • document origin.

    It is better to identify uncertainty than to incorrectly remove a requirement from the checklist.

    Newcomer can then show that part of the application as needing review.


    Does 100% Readiness Mean My Application Will Be Approved?

    No.

    A 100% readiness result means that, according to the answers you entered, the checklist items applicable to your case appear to have been addressed.

    It does not mean that:

    • every document will automatically be accepted;
    • the contents of every document are sufficient;
    • every substantive immigration condition has been satisfied;
    • the authorities cannot request additional evidence;
    • your residence application will be approved.

    The calculator is an application preparation tool, not an approval guarantee.

    Over time, you may need to monitor:

    • TIE;
    • passport;
    • residence authorization;
    • driving licence;
    • health insurance;
    • car insurance;
    • digital certificate;
    • tax-related documents;
    • other personal administrative deadlines.

    Can foreign documents require translation?

    Documents that are not in Spanish may require an officially accepted translation depending on the procedure and type of document.

    Is travel insurance enough for a Digital Nomad application?
